- Traditional vs Digital Expense Management
The expense management process entails several steps through which employees within an organization can submit their claims, have them approved or denied, plan their payment claims, and ultimately be reimbursed. It might look like a simple multi-step process but there could be various barriers in between. For example, an employee might accidentally spend more than the approved allowance. Having the appropriate system set up, managers can easily avoid these unwanted scenarios and encourage good practice through real-time confirmation and approval of expenses. Another common challenge posed by traditional expense management is the struggle to find occurring issues through a manual system. Receipts and necessary paperwork to claim expenses, can easily get lost. Missing information slows the whole process and distracts employees from their focus as time is wasted trying to solve these issues. Good news is, it doesn’t have to be that way. With the right expense management solution, this whole arduous process can be facilitated through a digitized solution. With the possibility of having real-time insights about expenditure as well as the possibility to claim instantly, processes are facilitated and efficiency is increased. More than that, having all the organization’s spending all in one platform rather than outspread in numerous spreadsheets and documents, leaves no room for error or waste of time.
- Online expense reporting: What, how and why?
Expense Management - Facing the problem If you are responsible for expense management in your organization, it is very likely that you get frustrated by the process from time to time. You have a lot on your mind and though very much needed, it’s a continuous extra load of work. It’s extra only because there is a simplified way of processing it. Probably you still use the traditional process paper forms with stapled receipts travelling from employees to managers to finance. Or you ask employees to scan receipts and add them to Excel forms. All this takes a lot of time employees would rather spend otherwise. Receipts get lost, getting the expenses from employees to finance takes a long time, and copying expenses into your accounting software is not an intellectually satisfying task. At the same time, it doesn’t even provide you with all the information and insights you need for good supervision and control. What might look like a mere task, in reality diminishes efficiency which in turn has a ripple effect on the whole organization. Finding a way out - SRXP Solution Online expense reporting can be your way out. You have probably already digitized most of your finance processes, such as accounting and invoicing. However, expense reporting has generally not received as much attention. That is a missed opportunity because the right expense software can be a real relief for an organization. - A Jira Health Check Is a Must. Why?
As a local Gold Atlassian Partner, On Point Ltd. has recently introduced a new concept to the Maltese market, a system health check for Jira Software. We are offering JIRA system health checks to small and big companies for free. This must not be overlooked as being a critical test to one’s own work but rather putting the system on hold and analyse any gaps and suggest how the solution can be improved to be more efficient long-term. We see many JIRA solutions that are self-implemented that are sufficient short-term solutions. However, things may be different in the long-term. Inefficiencies and risks will start to emerge and staff may grow more reluctant to work with it. At the very core of a security check lies the realisation that a system should be working for the organisation and not the other way round, and thus reviewing it is essential in order to get a better understanding of its suitability, issues and concerns. According to an article published by the Guardian, aptly named “Hope in a time of crisis”, the word emergence is derived from the word emerge, and the author describes this as “if you were ejected from the familiar and urgently need to orient”. This definition defines the current state that we are in. We have been ejected from our day-to-day routine, from our operations, our plans and shoved into a place full of unknown. As a company, it’s very hard to forecast what will be happing in a year’s time and I believe this applies to our customers, our competitors, our suppliers and any other stakeholders within the market. On one hand, this can be frightening but on the other side, we may found solace in the very fact that we can pivot ourselves. In other words, we are at a crossroad, and it’s up to us to determine which way to go. From a software perspective, the software solution should be providing us with correct data, which is up-to-date and detailed enough which would help us arrive at a well-informed conclusion. Moreover, behind the scenes, the company needs to be fully prepared with the right systems in place, which will support it all the way throughout the entire decision process but more importantly afterwards when decisions start to be implemented. Through a system health-check, we can put our mind at rest that the company will be supported by a system that is better oriented for the future, whatever it might hold for us. - How to reduce Jira Service Management costs by 90%?
Jira Service Management is an excellent tool providing loads of key features, however, two key issues forced us into looking towards other solutions: the license cost the users working on separate projects In a work environment which is increasingly dynamic and flexible, we wanted to have a solution which caters for fluid teams whilst delivering a more cost-conscious solution. We have managed to reach both targets through the Helpdesk for Jira a solution which we have opted for internally as well. By integrating the power of project management in Jira together with the customer portal which is still available to the end client we have managed to give access to the clients and their queries to all the team rather than simply a couple of users manning the service desk. The client is tired of having to go through a number of persons to get an answer, and we wanted to a more direct and flexible approach. Although Jira Service Management provided excellent tools to manage our client relations, a more appealing solution came to hand, The Helpdesk for Jira. Apart from allowing multiple users to work on separate projects, this add-on instantly saves you 90% of your software expenses! Drop your software expenses by 90% with JIRA HelpDesk, a fast, easy and efficient customer support software customised for your team. At a workplace with fluid teams and increasingly dynamic growth, we managed to migrate to this solution internally. By integrating Jira’s power of project management together with the customer portal, we have accomplished to directly forward clients and their queries to respective department teams, thus bypassing the customer service, previously acting as a middle man. Allowing for UI and layout customizability, this provides a more familiar and direct service for the users, avoiding the delay and the trouble of having to stand by for their answers. Moreover, the clients have full visibility of the tickets raised and are able to follow up by getting feedback and posting comments, allowing them to view the entire progress, completing one status at a time. Such functionalities as the ability to swiftly turn a comment to a new issue and similar issue suggestions for a faster solution are also encompassed within this package. This complex yet affordable module permits every Jira User to benefit from these advantages since Jira User can also be agents with one global license. Contact us for a free demo Meanwhile On Point will be organising a free webinar where we will be going through every detail of HelpDesk for Jira.
- Which Reporting Tool, Jet Reports or Power Bi?
Reporting is a term which is frequently too wide to do justice to the different complexities of different report categories within a company. And this leads to an important question which we are faced, which is the best product PowerBi or Jet Reports. The best is not the appropriate term, as both tools have very different scopes. Both of them are extremely good within their areas, which may explain why it can be so hard to choose between the two. As a starting point, we wanted to discuss the common features followed by their key differences. The Commonalities Live Data Both software read directly from Microsoft Dynamics 365 Business Central system, thus ensuring that the data being extracted is from the original source of data. Having said that, both tools require a report/data refresh when reviewing them as this would enable the system to read the latest data rather than retaining the previously extracted transaction data. This is a very important feature as the end-user may put their mind at rest that the data being analysed is based upon the latest set of transactional data. Multiple Companies Both PowerBI and Jet Reports are allowed to read data from multiple companies at one go, thus being equally useful both to firms having one single legal entity as well those having multiple entities. Business Central is often criticised that getting information from multiple companies can be very difficult. The only option from a Business Central perspective is to consolidate the different entities, an exercise which doesn't take place that often as it can be quite cumbersome and time-consuming, Having a reporting tool which allows the user to extract key information from different entities at one go would give a level of information within the company which is hard to achieve by analysing the entities separately. Fixed Setup One very interesting point is the fact that the reports will retain the setups and configuration as defined by the users. This means that even though the report will not be a report in the traditional sense, where the number of columns and at times even the rows are fixed, yet all the calculations, the designs, the general feel of the report and even the parameters which the user may define at report level will be retained. Opposite to most systems-default reports which are exported to excel, the reports in both Jet Reports and PowerBi will be reported and refreshed using the same design. Parameterised Both tools make extensive use of parameters thus allowing the user to get insight on different entities/customers/vendors/dates or whatever the parameter set whilst reading within the same set of data. This would extensively extend the use of the report and the use which would be in line to the role of the user. Moreover, extensive savings can be made as one design would serve a larger group of individuals. The Differences Ease of Use Though both systems require less technical know-how then what was required when developing reports internally within Business Centra/NAV, yet Jet Reports is deemed to be more user-friendly. Jet Reports reside within standard Excel, and through a simple add-on, the user would be able to interact directly to Business Central/NAV. Thus by combining the power of the add-on and maximising the features provided by Excel, a tool which is highly used within the finance departments. PowerBi on the other hand is pretty much an alien system to the user within the Finance department. This means that albeit being very flexible and easy to refresh, yet when designing a report, Jet Reports is easier to handle. More importantly, modifying a report is even all the easier, as the users find it pretty easy to understand what has been set up beforehand and follow it up. Scope This is probably the key difference between the two. Jet Reports is extremely useful within the Management Reports. The fact that we can create financial reporting which is strictly in line to actual published reports within the company reports. This is a crucial point not just for the published accounts but equally important for the management and decision-makers within the company. Through the use of Jet Reports tangible time savings are achieved, usually extending to a number of days per month, depending upon the complexity achieved. Distribution Once again Jet Reports has a clear advantage over PowrBi, as even though the Reports may be sent out, yet distributing Jet Reports is very easy. Directly from Excel or else through Jet Hub, the user can define to whom the report can be distributed and which parameters are to be put in place. Needless to say, this can produce a great time saving and peace of mind especially when dealing with reports which are repetitive. One important aspect to this is that a user receiving the report in a static format does not need to hold any kind of license and will instead receive the report as either excel or pdf. Once again this would exponentially increase the value for money in relation to the investment and the returns achieved. Cubes An essential feature which is limited to only Jet Reports is the setting up of data cubes. Jet Reports, or better Jet Analytics, which is the higher-tier level of Jet Reports, would allow the user to create data cubes thus facilitating, even more, the data extraction at the user level. A very interesting aspect to this is the pre-defined data cubes specifically built for Business Central. This means that the Return on Investment is immediate and the value for money for the said investment is even higher as the project doesn't require long hours of resource work before actually starting to enjoy the results. Should your company is interested to implement Jet Reports or PowerBI, contact us for a free software demo and consultation.
- Jira Service Management for External Customers
One key feature which is frequently missed is the capability of Jira Service desk of handling both internal and external customers. We may be used to sending out emails internally or perhaps going directly to the desk of our IT Guys asking for help and sometimes, getting them an extra coffee so as to take precedence over the shy guy in the corner who has been waiting for three days to get assistance. We may shy away from admitting it but that doesn't mean that we haven't done it in the past, I included of course Today we wanted to explore how to properly set up your Jira Service Desk to fully exploit its capabilities but more importantly, empowering both the user and the end client: Knowledge Base The knowledgebase can take different forms and formats. Whatever the style, the aim is to produce the right content which would ultimately assist the end-user to navigate through the various topics and get a better hold of certain aspects. In our case we have a mix of knowledge base forms: Best Practise Approach Step-by-step Procedures However, it's up to the company to understand what different formats its knowledge base can take. Through proper segmentation, we can provide the end client with a wide range of content. In addition to the above, the knowledge base can be a great resource to the agents as they can be used to: Be sent over to the client Be used to understand the resolution used in the past for certain issues/queries Take note of the solutions provided there and then, thus having an organised manner to record the resolutions that the company opted for. Request Types Whilst no client is like any other one, yet we can easily group the requests that we get in different categories. Once again the categories will vary from industry to industry but t's crucial to differentiate between them especially f we have specialised teams working onto different areas. I like to compare it to the options that we get whenever we call someone and we are forced to listen to an answering machine with a number of options. The main difference over here is that it is way more user friendly and faster, and we are not forced to listen to the same music for the entire waiting time The request types are to be created internally within the project, which in turn we may opt to create a number of other setups to facilitate and streamline the work. Specific Projects The last best practise tip is transparent form the end-user but nonetheless important for the agent...i.e. creating a project specifically for the service desk. We are not to underestimate the peculiarity of the service desk management, whose processes and requirements are intrinsically different from the other operations of the company. Anything else? Do you have anything else which you would add to the above? From our side, we'll keep amending the best practise approach as we follow more and more service desk projects for our clients and better understand the changing requirements of the industries and the winning formulas.
- Is It Time to Change the Way of Working?
Working from home is not the ultimate perfect solution. During these situations, it is the only solution. However whilst pondering about our future, we need to make sure that we are well-grounded into reality rather than romanticising the idea of working from home. Working from home can be as comfortable as working in your pyjamas waking at the very last minute before starting work, and difficult as trying to keep the kids busy and not bouncing on the sofa and drawing on carpets. Two different realities while trying to maintain some hint of professionalism during working hours. What is the solution? The truth is that there is no solution except for the very fact that we need to rethink everything from scratch. Are employers expecting employees to continue with a full 8-hour stretch of work? Although this is an old concept, many companies are already allowing employees to work flexible hours. The option to work from home, however, has been unquestionably thrown out of the window. We believe a mix of both should be adapted as such options make employees feel more trusted and potentially perform better during working hours. Companies need to start looking into such options during this period. https://www.onpointserv.com/atlassian-project-management What are the tasks that need to be carried out? How should employee performance be gauged? When and how are important meetings going to be held? In a nutshell, this concept of working from home needs to be reconsidered. There is no clear answer to all questions. This is what makes every company so unique and different, even though they might offer similar services. We believe that it's time to change the way of working, where being backed up by innovative solutions can help companies track employees and plan ahead tasks. With better technology, the top management can make better decisions which are of utmost importance. Companies need a platform which can transform with its processes and growth simultaneously, rather than being limited and rigid to change. However, a flexible mindset is needed as much as flexibility in an innovative software platform.
- Why #endSARS?
So perhaps you have seen the hashtag or you have come across it on the media because it trended worldwide and many notable names lent their voices to the campaign. Let me briefly explain what #endSARS is about and how it all started. End SARS simply means to put an end to 'SARS' and not the disease, yeah right. SARS is the acronym for Special Anti-Robbery Squad, a unit of the Nigeria Police force. The SARS unit was incorporated to combat crime especially armed robbery and they were armed with the necessary equipment required. Over the years, this unit has become notorious and known for impunity, extortion, unaccountability, and murders. All these they have done backed by the law of the Nigerian government, after all, they are police officers. In other words, the unit supposed to fight crime are now the ones committing the crime and there seems to be no one to stop them. End SARS or #endSARS is a leaderless social movement that calls for the disbandment of this notorious unit. #endSARS started in 2017 only as a Twitter campaign. The agitations and raised voices of the youths led the Nigerian government to ban, dissolve, and reform this terrible police force unit in 2017, 2018, and even in 2019 respectively. The effect of these bans and reforms were not felt, as the incidents involving police brutality and murder from this same unit continued to rise. In October 2020, there was an event when a video showing a SARS police officer shooting a young Nigerian trended on the internet, this happened in Delta State, Nigeria. This incident seemed like the last straw had been drawn and youths had had enough. The hashtag #endSARS immediately took a different dimension, from just a Twitter campaign to actual mass peaceful demonstrations in the streets of Abuja, Lagos and then in other major cities of Nigeria. In a world made up of so many differences, there are a number of commonalities that are there to stay. The most important ones are definitely respect and equal rights. And for us, who are mostly enjoying this basic right on most days of our lives, it's very easy to take the same basic rights for granted and forget the people who are fighting to gain these rights. The current protests in Nigeria are a stark reminder of this world of inequality which persists to date. Unfortunately, when listening to this grim news over the TV, it's very easy to look away, however, this time around destiny had a surprise for us at On Point. This time around our colleague, in Nigeria, was being literally surrounded by these protests, the fighting and killing very close to his home and a stone's throw away from our office in Lekki, the same place where the shootings have taken place. We cannot sit still and be indifferent to all of this. After all, we have travelled to Nigeria numerous times, and each time we were very positively impressed by the country, the people, the standards and all other aspects onto which we base our judgements. For all intents and purposes, it was just another city, very similar to the European ones. And yet it's a country which is very evidently suffocated by these underground powers which infiltrate the communities, wreaking havoc onto their very own people. It all boils down to power, maintaining it no matter what, even if the person in the street is the one to suffer. Very interesting, is the persistently different reports which we have been receiving in the past days. The official story is much rosier than the videos uploaded onto social media. The latter is actually confirming the reports by Amnesty international which is reported in the following link - https://www.amnesty.org/en/latest/news/2020/10/killing-of-endsars-protesters-by-the-military-must-be-investigated/ - at least 12 citizens have been killed. If one had to go onto Youtube and look for #endSARS, the number of videos is impressively huge, and each one portrays a picture that shows youths and the community at large fighting for their rights. In the midst of all of this, a very sorry picture of the Nigerian president has emerged. A president who is ready to spend so much energy during the election period but which has dragged his feet for days before deciding to speak to the nation. A president who opted not to mention the unacceptable shootings at Lekki, even though they were widely condemned both by the local and international community. In the end, all of this clearly shows a nation, who wants to move ahead, to progress but is not ready to have anyone tramping onto their rights. It's a nation which respects their leaders but is also expecting them to act as leaders. Whilst many may condemn all this, very few are ready to act. Most of us would simply criticize the act, but that's opting to act indifferently. And yet we are being called to do so much more. In today's world, the word of the person on the street is as might as those running the countries. None of us is exempt from making our voices heard. We are being urged to protest on behalf of the Nigerian community, asking to end the injustices. We are to put pressure on our own government to publicly condemn the shootings. We are simply being called to act, each of us in our own way. No action is deemed to be insignificant. There is only one state which is unacceptable, that of being indifferent.
- Confluence vs SharePoint: What's the difference?
Enterprises have plenty of options when it comes to collaboration software. Each tool has different strengths, how do our customers differentiate Confluence from file management systems like SharePoint? Flexible use cases for every team Organizations are comprised of different teams with different needs. Our customers choose the flexibility of Confluence because it evolves with teams' changing needs. Teams can use Confluence as an intranet or central hub, to engage and inform team members. Your teams can also use Confluence to capture, distribute and update technical documentation, or as a knowledge base. Companies rely on Confluence for proactive collaboration and communication beyond file- sharing. You can use Confluence for one or many of these use cases. Easily manage permissions and reduce overhead Access to sensitive company information needs to be easily configured and maintained. Confluence is open by default and provides easily managed administrative controls. Granular permissions controls like auditing, troubleshooting, and bulk editing help enterprise admins clearly see and understand who has access to spaces and pages, and why. Individuals and teams can also control the permissions on their content. In Confluence, there are no hyper-restrictive permissions that need to be configured by a select group of admins. Extend Confluence with apps and integrations Deep integrations and automatic linking make it easy to move between Jira and Confluence. Your teams can display Jira issues on Confluence pages for complete transparency, and add context to Jira projects with comments, reports, and more. Marketplace apps offer extensibility for different needs. Apps can help your teams add calendars, workflows, dashboards, diagrams and more to Confluence. Teams can customize your instance’s look and feel, streamline content, connect Confluence to other tools like Slack, and more. One place for your teams to work, together Teamwork is business-critical around the clock and around the globe. Confluence provides one place to create, evolve and share all of your teams’ work. Unlike documents, Confluence pages are flexible containers for information. You can think of a page as a living, breathing workspace. Teams can fill a page with text and content like images, files, and links. Expand Confluence capabilities by adding extra functionality or dynamic content, like reports or live feeds. Collaboration makes teams effective in an enterprise, and collaborative editing allows team members to work together, in real-time. Once a page is published, teams can use likes, in-line and page comments, shares and mentions to discuss and collect feedback, instead of sending files back and forth. Keeping team members in the loop is easy and straightforward! Confluence pages are open and interconnected - instead of being trapped in emails, folders, or drives. Spaces keep pages organized in meaningful categories, providing visibility. Create a space for every team, department or project, and use child pages or subpages in each space to form an intuitive hierarchy of information. Do you want to start using Confluence? Many enterprises use Confluence’s collaboration features combined with familiar file repository capabilities in SharePoint. For example, teams who work on projects in Confluence may also attach files or SharePoint links to their Confluence pages. The good news is, there is no right or wrong way to use Confluence with a file management system! We’ve found that consistency and organization are key to streamlining collaboration in every organization.
- Global Climate Change - Putting Words Into Action
Amidst the coronavirus, the only thing which seems to breathe a sigh of relief is planet Earth. Mother nature has finally taken back control of itself. The photos doing the rounds on social media of animals freely roaming the cities and the dolphins swimming next to our shores are an important confirmation of this. But the most important question we need to ask is how are we to maintain these results, post-pandemic. Easier said than done especially if the vast majority of us would love to go back to the old routine which is not exactly the optimal solution for our long-term well-being. The sudden break from our activities has for some been regarded as a curse but for many others a wake-up call, a blessing in disguise. Needless to say that in no way are we hoping that the discussions will reach a conclusion but what we are hoping for is that the momentum gained in the past weeks is maintained. We need to keep looking for a balance. Do we really need a pandemic to take better care of our earth? With this thought, digital innovation can actually contribute to the green cause. At the end of the day, there's no doubt that the benefits of innovative and environment-friendly solutions surrounding us can be more than beneficial. As a first step, we have started off with Atlassian Software itself. The Australian company is committed to achieving net-zero emissions by not later than 2050. As a first milestone, it aims at running its entire operations on renewable energy by 2025. It's certainly living up to its core value: “Be the change you seek.” When considering the huge footprint of this giant tech company, it's a very challenging objective and at the same time, it throws back to us the challenge to rise up to the occasion. Some factors that contribute to the environment through ICT; Reducing Traffic, Air & Noise Pollution Reducing Use of Paper Improving Energy Efficiency at the workplace Improving Data Management Centres On Point, as a young dynamic company, is able to implement changes quickly but with limited budgets, we always try to understand what is achievable from our side. This is a journey which is not limited to us, but also to our customer/supplier. We are very aware that not all entities have the same resources as Atlassian, Microsoft or other large firms. And yet we believe that if we had to start off with the products themselves we will surely bring around some important changes which will ultimately contribute to our goal: Enjoying a greener world. In the coming blogs and podcasts, we'll be exploring the green benefits achieved by using our products to the full and re-aligning our process. And in the meantime, any suggestions and opinions are more than welcome, and we encourage you to email us on avella@onpointserv.com with any initiative which your company is undertaking to help mother Earth.
