How-to - Filters In Business Central Microsoft Business Central Filters In Business Central Filtering in Business Central is a more advanced and innovative approach to control data included in a list, report or other output. Only data for the specified criteria will be presented if you set criteria for multiple fields. Click the funnel symbol at the upper right of the page to access the Business Central filter pane. A section called Views should display on the left side of the page. Now , let's explore what a Field filter and a Flow filter are. Join On Point Academy to view all content Join the academy → Log in → FIELD FILTER In this illustration, the fields are ( No. , Buy-from Vendor No. , Buy-from Vendor Name, Vendor Invoice No. , Status etc ). Field filters are always listed in the Filter list by section. STEP 1 : As shown in the illustration we are filtering by Buy-from Vendor Name in purchase invoices. To filter, hover your mouse pointer over the Field heading of the field you want to filter. A drop-down arrow appears, click on it, a list drops then select Filter . STEP 2: On selecting Filter , the Views section comes up on the left side of the page. Fabrikam, Inc was entered in the Filter list by section and the results showed all purchase invoices with the Buy-From Vendor Name, Fabrikam, Inc . Users also have the option to apply numerous filters at once to refine their results. NB: By clicking the Filter action in Filter list by , you can select a field you wish to filter. To open up the filter pane you can also type Shift + F3 . FLOW FILTER Flow filter utilises a variety of calculating techniques such as sum (total), average, maximum value, minimum value, record count, lookup, and more to develop and narrow down results. Flow filters are always listed in the Filter totals by section. In this illustration, data from the Income Statement has been filtered out from the Chart of Accounts. Let's narrow down the data to include income statement data from 01/01/2018 to 12/31/2018. STEP 1: In the Filter totals by section we select the Date filter and enter the parameters. The flow filter filters and displays results for the parameters set. Let's explore some of the filters in Business Central. | (Either / Or) - For this illustration, we placed the Either/Or symbol ( | ) between 10000 and 20000 as shown in the Filter list By section to display all purchase invoices with Buy-from Vendor No. with either 10000 or 20000 . < > (Not Equal To) - For this illustration, we placed the Not Equal To symbol ( < > ) before 0 (zero) as shown in the Filter list by section to display all purchase invoices with Amount Including VAT except 0 (zero). > (Greater Than) - For this illustration, we placed the Greater Than symbol ( > ) before 1000 as shown in the Filter list by section to display all purchase invoices with Amounts greater than 1000 . > = (Greater than or Equal to) - For this illustration, we placed the Greater Than or Equal to symbol ( >= ) before 100 as shown in the Filter list by section to display all purchase invoices with Amounts greater than or equal to 100 . < (Less Than) - For this illustration, we placed the Less Than symbol ( < ) before 500 as shown in the Filter list by section to display all purchase invoices with Amount including VAT less than 500 . < = (Less Than or Equal to) - For this illustration, we placed the Less Than or Equal to symbol ( <= ) before 100 as shown in the Filter list by section to display all purchase invoices with Amount including VAT less than or equal to 100 . & (And) - For this illustration, we placed the And symbol ( & ) between >10 and <1000 as shown in the Filter list by section to display all purchase invoices with Amount including VAT greater than 10 and less than 1000 . . . How-to - Report Options Jet Reports Report Options Introduction When Creating a report with Jet, Report Options are created to allow us to select specific filters to narrow down the report to show just the information you want to see. Report Options are mainly created for Jet’s particular users (Viewers). This gives them the ability to apply some specific filter to the report without changing the report itself. Report Options show as a pop-out window when you try to run a Report (built with report Report Options) just as shown below. Procedure. Step 1 Creating Report Options The Report Options Function on Excel Ribbon Tools is the key to creating Report options. When Click on the Report Options tab, the Window pop-out empty like this You can then Fill in the spaces as shown below Title = Start Date Value = 1/1/2022 Tooltip = Select a start date of your choice. For the look-up, I’ll show you how to use that later. use the same procedure to fill in the End date also, and your result should look like this. Once this is done, a new sheet named Options is created automatically. Since we created our report options, I’ll show you how to link the Report Options page to your report. we will link this report option to the “Customer Sales Report“ we’ve created. As we already know, the report option helps us narrow down our report. now, will filter our report with the date range and customer no from the report options. The filter will be applied on “D5“ and “H5“. customer no. the filter will be applied to NL(rows). “D5“ while the Date range will be applied to “H5“. When we applied this filter, we will be able to run our report for a particular date and also for customer no. we only want the report to show. The amount here is our main concern, we want the amount to display concerning time. so, we apply our date filter here. Click on the Jet formula you use to create the Amount, when the report wizard pops out, scroll down to the filter. under the filer field, search for the date and select the posting date as shown below. Click on the next box on the right side “Filter“. Once you do that, go to Nested Jet Function and click on the drop-down. On the drop-down, click on the NP function. Once you click on the NP, a new window will pop out where we fill in the required information. On “What”- fill in “Date filter“ On the start date, click the insert report option at the top. This will open the report options where you can now select the start date. select that and then click add. do the same for the End date. When you’re done adding the date range, click back and then ok. Adding customer No. as a filter to NL(rows) D5. Click on the NL function to get access to the report wizard. then fill in as shown below. To fill in the filter box here, just click on the “Insert Report Options“ and select No. Step 5 Running our report. Anytime you click on the run icon, the report option pops out for you to select or fill in how you want to apply your filter to the report. As shown here, I run the report for (First January) 1/1/2022 to 12/1/2022 (First December) and I also want the report to show for just some particular customers, so I select from the lookup just 4 No. when I run my report, it will display for that particular period and just the 4 customers. How-to - Building your Dashboard with Jet Report Building your Dashboard with Jet Report Most of us are familiar with dashboards which help give visuals and insight into our Report for better understanding. Building a dashboard with Jet Report is entirely different from creating a dashboard from Excel Data. Creating a dashboard with Jet Report is done in design mode, this allows you to make any adjustment to your dashboard directly from the data. Any changes made to your report reflect directly on your dashboard. This tutorial shows you how to Build your Dashboard with Jet Report from an income statement. Open the Report you’ll like to use in creating your dashboard. Open your Report and make sure to be in Design Mode, this is very important. just as the data are copied in Excel. In Jet, the data are copied in design mode. Note: any changes you want to make to your report should be done in the design mode. this way, it will affect your report. Step 2 Highlight the data you want to build your dashboard with. Select and highlight the data you want to build your report with just as shown below. you must be wondering why we select the empty rows beneath the report. that is necessary because we are in design mode and we still need to run the report to get our full data. selecting the empty rows (or columns if the report is based on “NL(column)”) automatically expands the data as the jet runs. Step 3: Get the data into your pivot table. Click on the “insert” in the ribbon, you should be able to see Pivot Table at the top left corner as shown below. Once you click on the “Pivot Table“, there will be a pop-out where it will ask you if you want to place the Pivot Table in a New Worksheet or Existing Worksheet. Select New Worksheet and click ok. Excel will automatically open a new Worksheet for you where we can have access to all the data in our report. the sheet should look like what is shown below. You can then double-tap on the name to change it. we changed our Pivot Table “sheet” to Data and Our “Report page” to Report. Step 5: inputting the data into the Pivot Table Before you input your data into the Pivot Table, ensure you’ve run our report to access the full data, as shown below. Now, navigate to the data sheet where we have our Pivot Table. we want to view our Monthly variance by account categories. we click or drag the “Account Categories“ to Rows we click or drag the Monthly Variance to Values as shown. Step 6 Building your Dashboard Now that we have our data in the Pivot Table, we select a pivot chart to help give better insight into our data. to do that, navigate to PivotTable Analyze Click on PivotChart on the page that pops out, select any chart of your choice. click on ok Step 6 Building your Dashboard Now that we have our data in the Pivot Table, we select a pivot chart to help give better insight into our data. to do that, navigate to PivotTable Analyze Click on PivotChart on the page that pops out, select any chart of your choice. click on ok When you click on ok, you will have your chart on the same sheet as your pivot table as shown below. Step 7: Create a new sheet for our Chart. Click on the positive icon to create a new sheet Rename the sheet to Dashboard Click on the chart to cut and paste it into the dashboard sheet. Navigate to “View” and click on it Un-select gridlines to have a plain sheet as shown Then cut and paste your Chart here. Choose the Search icon, Currencies , and then choose the related link. 2. On the Currencies page, click on Process and Select Adjust Exchange Rate page . 3. On the Adjust Exchange Rate page , Starting Date : Specifies the beginning of the period for which entries are adjusted. This field is usually left blank, but you can enter a date. Note: Best practice is to leave it blank so any adjustments you missed previously can be captured. Ending Date : Specifies the last date for which entries are adjusted. This date is usually the same as the posting date in the Posting Date field. Posting Date: Specifies the date on which the general ledger entries are posted. The posted entries appears at the Exchange Rate Adjustments Registers . This date is usually the same as the ending date in the Ending Date field. Document No: Specifies the document number that will appear on the general ledger entries that are created by the batch job. For example ADJUST MAY EX. Adjust Customer, Vendor and Bank Accounts: Specifies if you want to adjust customer, vendor, and bank accounts for currency fluctuations. Adjust G/L Accounts for Add.-Reporting Currency: Specifies if you want to post in an additional reporting currency and adjust general ledger accounts for currency fluctuations between LCY and the additional reporting currency. 4. How-to - Using Report Wizard Jet Reports Using Report Wizard A Report Wizard is one of the Jet Features in the ribbon tools that allow us to do some cool stuff using Jet Report. A Report Wizard makes building reports easy by guiding you through a series of questions to help you generate your report. A Report Wizard let you mark out the fields you wish to include in a report, allowing you to add a filter, group, sort, and also layout you want to use for your report. I’ll show you how to create a Trial Balance using Report Wizard in this report. What do you understand by Trial Balance Report? The trial balance report shows the balance of each nominal account at a particular point in time. the report might include debits and credits posted to each account. our trial balance report will be created from the G/L Account table with the following Fields; No, Name, Date, Income/Balance, and Balance. Procedure. Step 1 Open your Report, Wizard Just at the ribbon under the Jet Report section, you should be able to see Report Wizard as shown below. Click on that, then a new window will pop up, just like we have below. Select the table you want to create your report from, then click on ok as shown below. that will take you to the next page. Step 2 Selecting the fields and applying the necessary criteria Field Select the field you want to show in your report in the (Add Fields) by searching the name of the fields on the search tab. the selected fields will be shown in the Column order box, then click on next. Filter Group Sort We sort our balance in descending order, from the highest to the smallest. Total We want our report to show the total balance, so we select it also. Format We want to be able to edit our report after creating it with Report Wizard, so click to add basic Excel formatting. Step 3 Review your report Once you are done selecting, click on next. this will take you to a page to show you all you’ve done so far. Once you’ve cross-checked your work, you can click on finish. This will automatically create your Report, and it should be like this. Step 4 Running your report. Once you have your report created, you can then run your report. When you do that, it should be like this.
